Our Office Polices are Designed to Ensure the Smoothest Visit Possible

Dr. Laura and Dr. Rachel believe in giving each patient individual attention for their specific dental needs. Likewise, they know that caregivers are busy!  In order to keep appointments running smoothly, they have put the following policies in place.

LATE ARRIVAL and MISSED APPOINTMENT POLICIES

We have scheduled the appropriate amount of time to best meet your child’s needs Indeed, we want to ensure that we have the time necessary to give your child the full attention they deserve!  If you’re late for an appointment, our time with your child will be shortened.

As a courtesy, please call if you are running late.

If you are running more than 10 minutes late, please understand that we may not have enough time for full treatment. You may need to reschedule or come back for a second visit to complete treatment.

CANCELLATIONS

We understand that sometimes you might have to cancel an appointment. If you must cancel, please observe the following guidelines:

  • Please call the office at (330) 425-1885 and speak to a scheduling coordinator to cancel.  We cannot accept cancellations via text, email, or Facebook.  Thank you for understanding.
  • Please give us at least 48 hours notice. Please note that if you cancel with less than 48 hours notice, or fail to show up for an appointment, you may be charged a $50 cancellation fee.

FINANCIAL RESPONSIBILITY AND INSURANCE POLICIES

Our team members work their hardest to process your visit with your insurance and obtain a fair estimate of any out-of-pocket expenses you may have after insurance. They can only provide and estimate, however. Please understand that the insurance companies will determine the final, actual out-of-pocket expenses.

To help our staff provide the best estimate possible, please consider the following:

  • If you can, call BEFORE your appointment with your insurance information. For new patients, this helps speed the process of the first appointment. For existing patients, it’s important to call if your insurance changes in any way.
  • Always bring your insurance card with you. Your card provides important policy and group numbers, as well as specific provider numbers for our team to call.
  • Come prepared with a payment method for any uncovered portion of the visit.  Most insurances have some form of co-pay, deductibles, and other out-of-pocket expenses.  Payment is due the date services are rendered. Please have cash or credit card with you on the date of services.

CAREGIVER POLICIES

We understand that visiting the dentist can cause anxiety in both the child and caregiver alike!  You can choose whether or not you wish to accompany your child during treatment. In our experience, however, some children actually relax and follow directions better without a parent present.  In contrast, others may need the reassurance of a familiar face close by. Together, we will learn what works best for your child. If you choose to accompany your child, we ask that you support us in the following ways:

Allow us to prepare your child.

While we appreciate your offers to help, it’s important we follow all safety procedures.

Please be a silent observer.

If many adults are in the room talking and given directions, the child can easily feel overwhelmed and confused. Moreover, children by default tend to listen to a parent, instead of us. Instead of using words, support your child with gentle touches and reassuring smiles!

If the situation warrants it, please be ready to walk away.

Sometimes when children are frightened or uncertain, they will try to control the situation or end treatment by acting out. While this is normal behavior, your child needs to learn that it’s not acceptable behavior at the dentist’s office. By asking a parent to walk away, the child receives a clear message of which adult in the room is “in charge.” Dr. Laura, Dr. Rachel, and Team have training to help calm the situation and support the child emotionally along the way. We will send a team member to update you as time and the situation permits

Please be supportive of the office’s terminology.

We use softer words to help keep anxiety low. Our softer vocabulary is as follows:

  • Sparkle = Cleaning
  • Dirty Spot = Cavity
  • Happy Nose = Nitrous Oxide Mask
  • Pictures = X-Rays
